Why it exists

The problem it solves.

Plenty of participants have a guardian, nominee or family member acting for them, and the risk is always the same: the wrong person signs an agreement, or information goes to someone who was never authorised to receive it. When who-can-do-what lives in old emails and memory, it does not survive a staff change, and it does not stand up when someone asks you to show the authority behind a decision.

Record who acts for the participant

Choose the representative type from a defined list, including guardian, plan nominee, correspondence nominee, parent, family member, carer, power of attorney, support coordinator and advocate, then record their name, relationship and contact details.

Set exactly what they are authorised to do

Four explicit permissions are recorded on the profile: sign service agreements, make service decisions, receive client information and receive invoices, plus consent to contact the representative. Every one of them starts switched off.

Make contact expectations clear

The participant's preferred contact method can be set to their guardian or representative, and notes capture anything staff should know before reaching out.

Let the details flow through

The representative's name, relationship, phone and email populate service agreement templates automatically, so the authorised person appears on the paperwork without retyping.

Phone, email and address are held with the representative, alongside a consent-to-contact setting.

Representative details are available as merge fields in service agreement templates, so generated agreements name the right person.

Primary marker and notes

Mark the representative as the participant's primary contact person and keep nuance in a dedicated notes field.

You stay in control.

Nothing is authorised by default

Every representative permission starts switched off, so authority on the record is always a deliberate decision someone made, not a default nobody noticed.

Changes are logged

Updating representative details or permissions writes an event to the participant's history, with who made the change and when.

Contact preferences are visible to staff

Setting the preferred contact method to the representative tells everyone who to call, before a well-meaning direct contact causes a problem.

What kinds of representatives can we record?

Guardian, plan nominee, correspondence nominee, parent, family member, carer, power of attorney, support coordinator, advocate, or other. The type sits alongside the person's relationship and contact details.

What permissions can be captured?

Whether the representative can sign service agreements, make service decisions, receive client information and receive invoices, plus whether you have consent to contact them. Each is a separate setting.

Are any permissions on by default?

No. Everything starts switched off, so the record only ever shows authority someone deliberately granted.

Do representative details flow into service agreements?

Yes. Name, relationship, phone and email are available as automatic fields in agreement templates, so generated agreements name the authorised person without retyping.

Can a participant have more than one representative?

The profile holds one representative in full detail, with a primary marker and a notes field for additional contacts and context. The emergency contact is recorded separately.
