Why it exists

The problem it solves.

A late-night text saying "I can't make tomorrow" starts a scramble: who saw the message, who is ringing around for cover, and what actually happened to the shift? Without a proper workflow the cancellation lives in one person's phone, the gap gets discovered late, and nobody can say afterwards how it was handled.

How it works

Staff request the cancellation properly

The staff member cancels from their portal and must give a reason. The request is recorded against the shift from the moment it is made.

The rules are checked first

BondiByte confirms the site allows staff cancellations, the shift has not started, there is no request already active, and the cancellation is inside your notice window where you have set one.

Approval where you require it

If you require approval, the request routes to the site manager or team leader to approve or reject. If not, the manager is still notified immediately so nothing happens silently.

Cover offers go out automatically

With cover automation on, the freed shift is offered to suitable staff, ranked by fit, and each can accept or decline from their portal. If no eligible replacement exists, the manager is told straight away.

Everything stays visible

Requests and offers carry clear statuses from offered through to completed, rejected or expired, so you always know exactly where a cancellation stands.

Reason-required requests

Every cancellation request carries a written reason, captured at the time rather than reconstructed later.

Notice windows

Set how many days before a shift starts staff can cancel through the portal. Inside the window, they must contact you instead.

Approval routing

Requests needing approval go to the right person for the site, with email notification and a link to act.

Automated cover offers, once enabled

Switch cover offers on and suitable staff are offered the freed shift in ranked order, cutting the ring-around out of most cancellations. Leave them off and the manager is simply told.

Accept or decline from the portal

Offered staff respond in a couple of taps, and the shift is filled by the first suitable acceptance.

Full status trail

Offered, pending approval, completed, rejected or expired: the state of every request is always on record.

You stay in control.

Allow or disallow per site

Each site decides whether staff can cancel through the portal at all.

Your notice window

Choose the cutoff, such as more than two days before shift start, after which portal cancellation closes.

Approval on your terms

Require manager approval before a cancellation takes effect, or let it complete immediately with the manager notified.

Cover offers are off until you turn them on

Automated cover offers ship switched off. Until an owner or admin enables them for the organisation, a cancellation simply notifies the manager, who arranges cover themselves. Turning them on is a decision your leadership makes, and it can be reversed.

Frequently asked questions.

Can staff cancel at the last minute?

Only within the rules you set. Once your notice window has closed, or the shift has started, the portal will not accept the cancellation and staff are told to contact their manager.

Who covers the cancelled shift?

With cover automation on, BondiByte offers the shift to suitable staff in ranked order and the first acceptance fills it. You can always assign someone manually instead.

Does the cancelling staff member pick their replacement?

No. Offers go to staff who pass the suitability checks, ranked by fit, so cover is chosen on merit rather than mateship.

Is a reason always required?

Yes. A cancellation request cannot be submitted without one, and the reason stays on the record.

What if nobody accepts the offer?

The gap stays visible on the roster and the unfilled-shift alerts make sure the site manager, and if needed your admins, hear about it before the shift starts.
