Configuration

Take your data with you, on your terms.

Data Export lets authorised administrators select data categories, apply filters, preview the result, and download it. The Security card controls who can export and how long generated files are kept.

Overview

Data Export gives your organisation self-service access to its own operational data without raising a support request.

It sits under Configuration in the System group, next to the Security card that governs it.

Before you begin

  • Check the Security card: the downloads toggle and minimum export role decide who can use this area.
  • Know which categories you need: exporting everything is rarely the goal.

Recommended setup order

  1. Open Configuration and select Data Export.
  2. Select data categories.
  3. Set filters and format.
  4. Preview and download.

A look at the export contents before downloading.

Export governance

The Security card's downloads toggle and minimum role, enforced on the server.

Export retention

Generated export files are cleaned up automatically after the data export retention window.

Best practice

  • Export the categories you need rather than everything.
  • Download promptly: generated files are cleaned up after the retention window.
  • Restrict the minimum role to Owner when exports should be rare and deliberate.

Common mistakes to avoid

  • Wondering why Data Export is hidden when the Security card has downloads turned off.
  • Treating an export as a backup or disaster recovery strategy.
  • Leaving generated exports undownloaded past the retention window.
