Every participant pays differently: agency managed, plan managed or self managed. The billing profile holds who pays, where the invoice goes and how it should arrive, and BondiByte checks it is complete before an invoice can be sent.

Why it exists

The problem it solves.

Sending an NDIS invoice to the wrong party is one of the fastest ways to slow down payment. Who pays depends on how the participant's plan is managed, and that detail too often lives in someone's head or an old email thread. When it is not on the record, every invoice run starts with the same round of questions.

How it works

Set the plan management type

Record whether the participant is Plan Managed, Self Managed or NDIA Managed. This drives what the billing profile expects: a plan manager contact or organisation for plan-managed participants, a billing contact for self-managed ones.

Add the paying contact

Capture the billing contact or organisation, billing email and phone, and an ABN where relevant, so invoices are addressed to the party that actually pays.

Complete the address and delivery preferences

Add the billing address, an attention-to line for invoices, the delivery method (Email, Portal, Manual or Other) and any billing notes your team should see.

Invoice with confidence

When an invoice is sent, it goes to the billing email with the PDF attached. If anything required is missing, BondiByte stops the send and lists exactly which details to add first.

Sends are validated, not assumed

An invoice cannot leave until the billing profile has the plan management type, billing email, address and the contact its management type requires. BondiByte tells you what is missing rather than sending anyway.

Only current participants can be edited

Billing details cannot be changed on a deactivated participant, so dormant records do not quietly drift.

Every change is on the record

Billing profile updates are logged in the participant's history, so you can always show when details changed and who changed them.

Which plan management types are supported?

Plan Managed, Self Managed and NDIA Managed. The type you choose shapes which billing details the profile expects before invoices can be sent.

What happens if billing details are incomplete?

The invoice send is stopped and the message lists exactly what is missing, such as the plan manager contact, the billing email or the billing address. Nothing goes out half-addressed.

Do the required details change with the management type?

Yes. Plan-managed participants need a plan manager contact or organisation on file, and self-managed participants need a billing contact. Every send needs a plan management type, billing email and billing address.

Does the payer get links into our workspace?

No. Invoice emails carry the invoice PDF and payment details only. The recipient is an external paying party, so nothing in the email leads into your BondiByte workspace.

Are billing changes tracked?

Yes. Each update writes an event to the participant's history showing who made the change and when.
