Why it exists

The problem it solves.

Most providers hold staff details in three or four places at once: a spreadsheet, an inbox, an HR folder and someone's memory. When a new support worker starts, the same details get re-keyed into rosters, payroll and compliance lists, and the gaps only show up at the worst moment, usually their first shift. BondiByte captures everything once, in a structured record that the roster, timesheets and compliance checks all read from.

How it works

Add one person or import the team

Open Staff and use Add staff for a single record, or Import to bring everyone across at once. The import gives you a CSV template to fill in, then checks your file and shows validation feedback before anything is created.

Complete the guided profile

One form captures identity, contact and emergency contact details, employment type, right to work, start date, manager, pay level and an initial primary site. Recording these accurately means compliance and document tracking chase the right evidence later.

Set status and rostering preferences

Choose the operational status, then set ordinary hours, shift preferences and, where needed, a maximum rostered hours limit. Statuses are not just labels: inactive and terminated staff are excluded from rostering automatically.

Build the evidence base

Upload qualifications, clearances and checks against the profile. Where a document type maps to a capability, approved evidence keeps the capability record and its expiry current.

Switch on portal access when ready

The Login access tab lets you send setup details, link an account, or revoke access. Staff only get portal and mobile app access when you decide they should.

You stay in control.

You control login access

Portal and app access is granted deliberately from the Login access tab, and you can revoke sessions at any time.

Status stays in your hands

Marking someone inactive or terminated removes them from rostering consideration immediately, without deleting their history.

Imports are checked first

CSV imports run validation and show you the feedback before records are created, so a bad file never floods your workspace.

Frequently asked questions.

Can we bring our existing team across in one go?

Yes. Download the staff CSV template, fill it in without changing the columns, and upload it back. BondiByte validates the file and shows any problems before creating records.

Do staff need a login account?

Only if you want them using the staff portal or mobile app. The staff record works for rostering and compliance either way, and you grant access from the Login access tab when you are ready.

What details can we capture on a staff record?

Identity, contact and emergency contacts, employment type, right to work, start date, manager, pay level, sites, ordinary hours, rostering preferences, documents and capabilities, all on one profile.

What happens when someone leaves?

Set their status to inactive or terminated. They are excluded from rostering and from your active staff count straight away, while their record and history stay on file.

Can staff upload their own documents?

Yes, through the staff portal and mobile app. Staff-submitted documents wait in an approval queue and only become trusted profile evidence once a manager approves them.
