Getting Started
Start here before daily operations begin.
Use this path to prepare organisation settings, roles, sites, staff, clients, rosters, Smart Rostering, Staff Portal, timesheets, invoicing, audit evidence, capacity controls, and notifications.
Overview
The Getting Started guide gives owners and admins a safe first path through the platform.
Use it before inviting wider teams or turning on automation-heavy workflows.
Before you begin
- Have provider identity details, site list, staff list, client list, billing contacts, and owner/admin responsibilities ready.
- Keep automation-heavy workflows off until the records they depend on are accurate enough to trust.
Recommended setup order
- Complete organisation, brand, roles, and email readiness checks.
- Create sites before linking staff and clients.
- Create active staff and client records.
- Add service agreements, billing context, and key documents.
- Build the base roster before enabling Smart Rostering.
- Review Staff Portal, timesheets, invoicing, Audit Centre, and capacity controls after the core records are ready.
Key fields and settings
Active staff

Best practice
- Start with one operating area before rolling the pattern across the full provider.
- Check staff, client, and site relationships before Smart Rostering.
- Use manual workflows while setup is still being checked.
Common mistakes to avoid
- Inviting users before roles, staff links, and contact details are ready.
- Trying Smart Rostering before base shifts and site team links are ready.
- Starting invoicing before billing details and service agreement line items are ready.
